Aspen Ecology treat privacy with importance. This statement describes the types of information we may collect from you, the purposes for which we use the information, the circumstances in which we may share the information, and the steps that we take to safeguard the information to protect your privacy.

Collecting your information

Polar Aspect collect the information that you enter into our contact form as relevant for the purposes of responding to your queries, or informing you about future Aspen Ecology services and educational opportunities. You may decline to offer any of the information requested on the form, but as a result we may be unable to respond to your queries, or to inform you about future Aspen Ecology services or educational opportunities.

If you are taking part in an Aspen Ecology educational programme, we may request information from you before and during the programme for the purposes of registering you for the programme, sharing programme materials, requesting payment of programme fees, establishing post-course learning support groups, and informing you about future educational opportunities. You may decline to offer any of this information, but as a result it may not be possible to take part in the programme. We may also request optional feedback about your experience of the programme after you complete it, to help us improve our educational offerings.

We may take photographs or make recordings of our educational programmes in which participants may appear. We will obtain your consent before we take photographs or make recordings in which you may appear.

Using and sharing your information

By completing our contact form or providing information to us by other means, you consent to Aspen Ecology processing the information you provide. We will use this information as relevant to manage and communicate with you about our services and educational opportunities, and to inform you about future Aspen Ecology services and educational opportunities.

If you are taking part in an Aspen Ecology educational programme, we may share your information as relevant with third parties who provide registration, hosting, accommodation, catering or other services related to the programmes in which you participate. We will not disclose this information to other third parties without your consent. If you elect to provide feedback about your experience of the programme after you complete it, we will use this feedback to analyse and improve the educational value of our offerings. We may also use your feedback for the purposes of marketing future educational opportunities.

We may use photographs or recordings in which you have given consent to appear for the purposes of marketing future Aspen Ecology services or educational opportunities. If such photographs or recordings are shared with us by a third party, we will make best efforts to ensure that the third party obtained your consent to take and share the photographs or recordings.

Safeguarding your information

You are entitled to access any information that Aspen Ecology hold about you, to direct Aspen Ecology to modify or delete any information that you believe is incorrect or out of date, and to unsubscribe from receiving information about future Aspen Ecology services or educational opportunities. You are also entitled to direct us to cease using any photographs or recordings in which you appear, whether or not you previously gave consent. In facilitating your requests or directives, we may require you to supply a valid means of identification as a security precaution to assist us in preventing unauthorised disclosure. We will process your requests or directives within the time provided by applicable law.

Should your relationship with Aspen Ecology end, we will continue to treat your information, to the extent we retain it, as described in this privacy statement.
